Sessions and scheduling
Calendar and booking
Book single and recurring appointments with the patient, provider, duration, in-person or telehealth, session language, service type, place of service, prior authorization number, and referring provider.
Open the calendar from Sessions > Schedule, or book directly with Book Appointment.
Book Appointment
- Patient. Search by name. If the patient is not in the directory yet, add them from Patients first.
- Provider, date, and time. Times are in the practice time zone.
- Duration. 15, 30, 45, 60, 90, or 120 minutes.
- In-Person or Telehealth. Telehealth creates the video session link and includes it in the reminders.
- Session Language. English or Spanish (Espanol).
- Service Type. Your service list (evaluation, treatment, re-evaluation, parent training, and so on).
- Place of Service. 11 Office, 12 Home, 02 Telehealth, 10 Telehealth (Patient Home), and the facility codes. This is what prints on the claim.
- Prior Authorization Number, and Referring Provider Name and NPI when the payer needs them.
- Recurrence. None, or a weekly pattern. Recurring bookings are created as a series and can be edited individually.

Booking by voice
Hold the microphone and say the booking: “Book Maria Tuesday at three for thirty minutes, telehealth.” Sefton Voice finds the patient (fuzzy matching handles nicknames), checks the slot for conflicts, reads the booking back, and books only after you confirm.
The calendar
The Appointment Calendar shows the week or day for one provider or all providers, color-coded by service type. Drag to reschedule; click a slot to book. Today’s Appointments on the right mirrors the Sessions view.

Reminders
Families who opted in under their portal notification preferences receive email or SMS reminders 24 or 48 hours before, in their portal language. Reminders never include clinical detail.
Multi-booking
Book Meeting schedules internal meetings and group sessions with several participants at once.
Frequently asked questions
Can I sync with Google Calendar?
No. External calendar sync was retired; Sefton is the single scheduling source of truth, which keeps appointment details inside the HIPAA boundary.
What does the session language on an appointment do?
It sets the telehealth lobby to an English or Spanish session, flags the card on the day view, and is used for reminders sent to the family.
