Getting started
Import your clients
Use the Data Import Wizard to bring patients and, optionally, appointments over from your previous system with a CSV or Excel file, then review the counts and finish.
The Data Import Wizard lives at Settings > Import. It has three steps: Import Patients, Import Appointments (optional), and Review and Complete.
Before you start
Export from your current system:
- Patients: first name, last name, date of birth, phone, email, address, insurance carrier and member ID if you have them, guardian name for minors.
- Appointments (optional): patient name or ID, provider, date, start time, duration, service type, status.
Column headers can be in any order; the wizard maps common header names automatically and shows you the mapping before it imports.
Step 1: Import Patients
Click Select Patient File and choose the CSV or Excel file. The wizard shows the row count and the columns it recognized. Click Import Patients. Rows that cannot be read are listed with the reason so you can fix and re-import just those.

Step 2: Import Appointments (optional)
Select Appointment File (Optional) and Import Appointments, or Skip Appointments. Appointments are matched to the patients you just imported by name and date of birth.
Step 3: Review and Complete
The review screen shows Patients Imported and Appointments Imported. Click Complete Setup. The new patients appear in the Patients directory with an insurance status chip (Insurance on file, Insurance needed, Insurance needs review) so you can see who still needs coverage details.
After the import
- Check a few records in Patients for address and insurance accuracy.
- Add guardians for minors (Guardians and caregivers).
- Invite families to the portal in batches (Invite a patient to the portal).

Frequently asked questions
Which file formats does the import accept?
CSV and Excel exports. Export your patient list from your current system, and if you can, an appointments export too.
Can I run the import more than once?
Yes. Duplicate patients are matched on name and date of birth, so re-running an import to add the rest of a roster is safe.
Is there also an export?
Yes. Owners and admins can download the whole practice roster from the same Settings > Import page, in the same column layout the importer reads. See Records export and practice export.
