Getting started

Practice setup

Enter the practice information, NPI, tax ID, practice type, service facility, billing ZIP, time zone, and locations that flow onto every claim and superbill.

Practice Setup is the identity your claims, superbills, statements, and portal carry. You fill it once during onboarding and edit it any time from Settings.

Practice Information

  • Practice name, phone, email. Appear on superbills, statements, and the patient portal.
  • Practice Address. Start typing and pick the verified address.
  • Practice NPI. 10 digits. For a group this is the organizational NPI; a solo practitioner may bill under the individual NPI.
  • Tax ID Type and number. EIN (Employer Identification Number) or SSN (Social Security Number).
  • Practice type. Solo Practice, Group Practice, Clinic, Hospital, Urgent Care, Telehealth, or Other.
  • Billing ZIP Code. Used on the billing provider block of the claim.
The Practice Information form: name, address, phone, email, NPI, tax ID type, and practice type.

Service Facility Location

If care happens somewhere other than the practice address (a school, a clinic you rent by the day), enter the Service Facility Name, NPI, city, state, and ZIP. Otherwise tick Same as practice location.

Time zone

Settings > Time zone: appointment times are scheduled and shown in this zone, so set it to the clinic’s local time before booking anything. See Profile and language.

Locations

Practices with more than one site add each one under Settings > Locations. A location switcher then appears in the header and the Sessions view filters to the selected site. See Locations.

Brand

Settings > Brand lets you set the color used on the patient portal and patient-facing documents so families recognize your practice.

What to check before your first claim

  1. Practice NPI and tax ID match what your payers have on file.
  2. The billing ZIP is the nine-digit ZIP if your payer requires it.
  3. Your individual profile (Settings > Profile) has your rendering NPI and taxonomy.

Then go to Payers and rates to enter your fee schedule.

Frequently asked questions

Solo practice: is my practice NPI the same as my individual NPI?

Often a solo practitioner bills under the individual (Type 1) NPI and has no organizational NPI. Enter what you bill under today; if you later obtain a Type 2 NPI, update Practice Setup and future claims use it.

What is the service facility for?

It is where care is delivered when that differs from your practice address, and it is reported on the CMS-1500. Tick Same as practice location when they match.
