Getting started

Invite your team

Invite providers from the Providers workspace, see the subscription impact before an invite is sent, understand roles, and set up supervisor co-sign for assistants.

Owners and admins manage the team from Patients > Providers (the Providers workspace).

Invite a provider

  1. Open Patients > Providers and click Invite Provider.
  2. Enter First Name, Last Name, email, and specialty. Add a Personal Message if you like.
  3. Read the Billing impact box. It shows Current monthly, Additional provider, and New monthly total. If the invite changes your bill you must tick the confirmation before Send is enabled. If it does not, the box says so.
  4. Click Send. The provider receives a secure onboarding invitation by email and completes their own Provider Verification and agreements.

Roles

  • Owner: the account that created the practice. Billing, plan changes, practice export, and user management.
  • Admin: user management, practice settings, billing, and every clinical surface.
  • Staff: scheduling, patient records, and billing queues without administrative settings.
  • Provider: clinical documentation and their own schedule and billing work.

Supervision

For assistants who need a supervisor’s signature, set the supervising provider on their profile. Their signed notes appear in the supervisor’s pending co-sign queue. See Supervisor co-sign.

When someone leaves

Release the provider from the practice on their Providers page. Their access to the practice ends immediately and their notes and claims remain in the record with their name attached.

Sign-in problems

A team member who sees “Your password has expired” uses Forgot password; the reset restarts the expiry clock. A locked-out account unlocks on its own after the lock period. If neither works, open a support ticket and Sefton support clears the sign-in block from its console (the action is audited). See Team accounts and sign-in problems.

Frequently asked questions

Does adding a provider change my bill?

On Sefton Complete each additional therapist is billed per month. The invite dialog shows the current monthly total, the additional provider, and the new total, and asks you to confirm before sending.

Can an assistant (SLPA, COTA, PTA, RBT) have an account?

Yes. Invite them as a provider and assign a supervisor; their notes go to the supervisor's co-sign queue.
